ABOUT THE POSITION:

The Department of Healthcare and Family Services, Bureau of Long-Term Care is seeking a high energy individual with office experience to work with our specialized information. The ideal candidate will demonstrate the ability to apply agency policies and procedures to perform time sensitive duties. The ideal candidate will exhibit strong independent initiative. The candidate will possess strong communication skills.

Job Responsibilities

  1. Conducts complex clerical activities; drafts and types medical reports, charts and graphs; composes and types correspondence for supervisor and staff; proofreads work involving medical terminology for accuracy, clarity and content.
  1. Compiles and updates automated and manual files; files and updates Long Term Care records, correspondence and reports for supervisor and staff; updates current policy and procedural manuals.
  1. Opens, reviews, sorts and distributes mail and correspondence; screens and transfers telephone calls to staff; responds to routine inquiries; drafts messages for field staff; maintains daily itineraries for regional staff.
  1. Types and distributes travel vouchers to staff; updates employee personnel records and time sheets; monitors monthly available benefit time (ABT) report to ensure correct time was deducted and/or added.
  1. Establishes and monitors tracking system; reviews on-site medical review reports to ensure they are received for participating Long Term Care facilities.
  1. Performs other duties as requires or assigned which are reasonable within the scope of the duties enumerated above.

Minimum Requirements

  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience
  • Requires ability to type accurately at 45 words per minute

Knowledge, Skills, and Abilities

  • Requires extensive knowledge of office practices, procedures and programs, composition, grammar, spelling and punctuation
  • Requires working knowledge of basic mathematics
  • Requires elementary knowledge of agency programs, rules and regulations
  • Requires ability to follow oral or written instructions and to operate commonly used manual and automated office equipment and perform routine maintenance
