Job Responsibilities

Under direction of the Consent Supervisor, prepares and keyboards a variety of complex, technical reports, including statistical data, Department forms, and correspondence; checks for accuracy of typing, spelling, grammar, and punctuation, utilizing a command of legal, medical, and social work terminology; reviews incoming mail, faxes, and documents; faxes or scans appropriate requests to medical consultant group and faxes or scans stat meds to caseworkers; answers incoming calls and greets visitors; establishes and maintains files of current and closed guardianship consent matters, including consent documents and correspondence; establishes and maintains a current registry of authorized agents of the Guardian.

 

  1. Prepares and keyboards a variety of complex, technical reports, including statistical data, Department forms, and correspondence; checks for accuracy of typing, spelling, grammar, and punctuation, utilizing a command of legal, medical, and social work terminology to review correspondence to proof for appropriate use of terms and accuracy of information; composes routine correspondence and signs correspondence as authorized.

 

  1. Reviews and distributes incoming mail, faxes, and documents; faxes or scans appropriate requests to medical consultant group and faxes or scans stat meds to caseworkers; identifies youth in care’s assigned private agency and assigned worker; retrieves data from DCFS, Department of Healthcare and Family Services, and Cook County Juvenile Court databases; assists professional staff by transposing computer information to forms and/or reports; retrieves, organizes, and logs all psychotropic medication requests.

 

  1. Answers incoming calls and greets visitors; screens calls to determine the nature of request; interviews callers and visitors to gather information to assess situation; refers callers and visitors to appropriate professional staff; answers the consent hotline and routes calls to appropriate authorized agents; provides general office support and clerical back up to the Office of the Guardian as requested.

        4. Establishes and maintains files of current and closed guardianship consent matters, including consent documents and correspondence; maintains project files and monthly report files; organizes files and maintains all files in closed storage in the Guardian’s  office for immediate accessibility; archives older closed files every two years and more frequently as directed.

5. Establishes and maintains a current registry of authorized agents of the Guardian and maintains all correspondence related to this function.

6. Makes appointments and travel arrangements; compiles necessary information to prepare travel vouchers for assigned staff; computes mileage and allowable per diem expenses and forwards for payment.

7. Arranges through appropriate channels repairs for telephones, computer terminals, and other office equipment; maintains inventory and orders office supplies needed for the operation of the unit; maintains supply of all current DCFS forms and form letters utilized by the Office of the Guardian and the Consent Unit.

8. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above. 

Knowledge, Skills, and Abilities

  • Requires ability to keyboard accurately at 45 wpm
  • Requires extensive knowledge of office practices, procedures and programs.
  • Requires a working knowledge of legal, social, and medical terminology.
  • Requires extensive knowledge of composition, grammar, spelling and punctuation.

 

 

Employment Conditions

 

  • May require possession of an appropriate valid driver's license.

 

 

Education Degree

 

  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience.
