Position Description

Under direction, independently performs technical accounting duties in maintaining a complex, complete set of account books for obligation and expenditure records for the Department of Financial and Professional Regulation; independently maintains automated ledgers of general agency funds and appropriations; maintains detail complex computerized ledgers for all sub-accounts; schedules authorizing payments; maintains and monitors appropriation balances; prepares reports for management personnel.  Provides fiscal accounts payable assistance as needed to DFPR staff.  Serves as the Travel Coordinator for DFPR responding to travel inquiries and assisting employees with travel related matters

Job Responsibilities

  • Examines and reviews for accuracy, processes, and posts to accounting system commercial invoices and travel vouchers submitted by all agency personnel
  • Maintains complex, complete set of account books for department obligation and expenditure records; independently performs complex accounting work maintaining automated ledgers of funds and appropriations; maintains detail computerized ledgers for all sub-accounts; prepares, corrects, processes and posts financial information, invoices, and vouchers to the Accounting Information System (AIS); determines through proper review and comparison of data accuracy of charges incurred; determines proper account from which payment should be submitted, appropriation number and whether charges incurred are contract originated or on an individual basis; matches invoice vouchers to proper obligation documents within AIS
  • Prepares, reviews, posts, and files Contract Obligation Documents (COD) through the Statewide Accounting Management System (SAMS), including establishing increases and decreases, detailing by detailed object code, dates, encumbered and unencumbered funds by appropriation number
  • Performs development, testing and implementation of enhancements to existing and new systems  
  • Serves as the DFPR Travel Coordinator
  • Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to completion of two years of college and one year of technical accounting experience or four years of related clerical bookkeeping experience

Preferred Qualifications

  • Prefers a Bachelor’s degree in Accounting, Finance, Business, or similar
  • Prefers at least three years of accounting or bookkeeping experience
  • Prefers at least five years of experience working in a professional office environment
