Administrative Assistant Job Description

The Office of Illinois Governor, JB Pritzker is seeking an Administrative Assistant to join the Governor's Office (GO) based in the Capitol building in Springfield, IL. The Administrative Assistant will serve as the first point of contact for constituents, legislators and visitors who enter the Office of the Governor. Additionally, the Administrative Assistant will support the Operations and Governor’s Office of Constituent Affairs (GOCA) teams by assisting with various special projects and initiatives as assigned.

About the job

The Administrative Assistant will be responsible for managing a variety of administrative tasks for the office including:

  • Reporting to Senior Deputy Chief of Staff for Operations.
  • Greeting visitors and assisting as necessary.
  • Answering and/or returning constituent phone calls (including directing to next appropriate steps and/or assistance).
  • Scheduling meetings.
  • Booking hotel and car reservations for Governor’s Office employees.
  • Assisting with inventory management.
  • Opening , sorting, & distributing mail with GOCA team.
  • Other administrative tasks as assigned.

Ideal candidate will have

  • Experience in customer service and/or taking phone calls at a high volume with a temperament to communicate with a variety of personalities, in a polite and professional manner.
  • Experience with administrative duties such as inventory, travel bookings, and working with vendors.
  • Excellent organizational abilities, attention to detail, and the ability to handle multiple projects simultaneously.
  • Ability to take initiative and work independently without direct supervision.
  • Ability to communicate effectively, both verbally and in writing.
  • Strong oral and written communication skills.
  • Strong problem-solving skills and an ability to work in a fast-paced office environment.
  • Knowledge of Illinois Government and Illinois Government structure.

Education and Experience

  • Bachelor’s degree is preferred.
  • At least 3 years of professional experience is preferred.
