ABOUT THIS POSITION:

The Department of Healthcare and Family Services’ Bureau of Fiscal Operations is seeking to hire an energetic Office Associate to work for the Manager of the Receipts and IV-D Distribution section. The Bureau of Fiscal Operations (BFO) offers a fast-paced environment and work assignments that provide team members with a sense of accomplishment. This position is responsible for providing specialized office support and performing a variety of complex office support functions. The ideal candidate should exhibit the ability of being a team member while fostering a cohesive environment, and experience with office procedures and personal computer systems is desired. Job Responsibilities

25%  Conducts a variety of complex, specialized clerical tasks providing office support for the section manager and staff.

25%  Posts routine data from agency cash receipts.

20%  Responds to inquiries providing information on policy and procedures.

15%  Updates ABT database and tardy reports.

10%  Receives, opens, stamps, sorts and distributes incoming mail.

5%    Performs other duties as required or assigned that are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of high school and two years of office experience
  • Requires the ability to type accurately at 45 words per minute

Knowledge, Skills, and Abilities

  • Requires extensive knowledge of office practices, procedures and programs
  • Requires extensive knowledge of composition, grammar, spelling and punctuation
  • Requires working knowledge of basic mathematics
  • Requires elementary knowledge of Agency programs, rules, and regulations
  • Requires ability to follow oral or written instructions
  • Requires ability to operate commonly used manual and automated office equipment and perform routine maintenance
  • Requires ability to proof, compose and edit correspondence and statistical reports
  • Requires ability to communicate clearly and effectively both orally and in writing
  • Requires ability to answer phone call in a professional and cooperative manner
