Job Responsibilities

1.  Conducts complex, specialized clerical office support duties.  Utilitizes a personal computer to draft and type a variety of material.  Gathers info from a variety of sources and material.  Interprets rules and regulations and reviews records and reports for compliance with legal requirements.  Submits records and reports to supervisor for distribution.  Designs formats for statistical, numerical,  or technical data/charts/exhibits.  Proofreads work involving legal and medical terminology from other regional offices.

2.  Serves as receptionist.  Receives and directs visitors to staff for specialized information.  Answers non-technical questions and explains procedures.  Screens and forwards telephone calls for staff.  Answers transferred  phones from other regional offices.

3.  Coordinates office mail.  Receives, sorts, opens, reads, and distributes mail.  Merges correspondence for mass mailings and labels.  Signs routine mail in supervisor's absences as authorized.  Enters information of checks sent to Estate worker's log.

4. Maintains files, establishes files of correspondence, memoranda, and other information.

5.  Performs other duties as required or assigned which are reasonably within the scope of the duties enurmerated above.

 

Minimum Requirements

 

1.  Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience.

2.  Requires ability to accurately type at 45 WPM. 

 

Knowledge, Skills, and Abilities

 

1.  Requires extensive knowledge of office practices, procedures and programs.

2.  Requires extensive knowledge of composition, grammar, spelling and punctuation.

3.  Requires working knowledge of basic mathematics.

4.  Requires ability to follow oral or written instruction.

5.  Requires ability to use commonly used manual or automated office equipment

6.  Requires ability to work in fast paced environment.
