Position Overview
The Division of Developmental Disabilities is seeking to hire an Executive Secretary I for the Choate Mental Health and Developmental Center located in Anna, Illinois to serve as administrative secretary to the Medical Director. Independently performs highly responsible, complex and extensive clerical and computer services using specialized medical and legal terminology. Composes and keyboards medical consultations. Maintains daily schedule for the Medical Director. Serves as timekeeper for medical staff.
Essential Functions

Serves as administrative secretary to the Medical Director, independently performs highly responsible, complex, and extensive clerical and computer services using specialized medical and legal terminology.

Establishes and maintains system for the format and content of confidential Credentials and Privileging (C&P) files for medical/professional staff.

Delivers incoming mail and prepares/distributes outgoing mail.

Develops and maintains documentation of medical staff performance improvement activities.

Prepares and distributes, in advance, agendas for Medical Staff and Medical Committee meetings.

Serves as timekeeper for medical staff.

Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
-
Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and one (1) year of secretarial experience OR completion of high school and three (3) years of secretarial experience.

Requires the ability to keyboard accurately at 55 wpm.

Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
-
Three (3) years of experience performing highly responsible, complex and extensive clerical and computer services using specialized medical and legal terminology for a public or private organization.

Three (3) years of experience working with sensitive/confidential information.

Three (3) years of experience maintaining records, reports and files.

Three (3) years of experience gathering data to conduct special projects and studies for a public or private organization.

Three (3) years of experience working with personal computers.

Requires the ability to travel in the performance of job duties.

Requires ability to pass the IDHS background check.
