ABOUT THIS POSITION:

The Department of Healthcare and Family Services, Division of Child Support Services is seeking a qualified and motivated candidate to fill the role of Office Coordinator with our Regional Office.  The ideal candidate will be able to type 30 words per minute and be proficient with office practices, procedures and programs.  The ideal candidate will also possess the equivalent of two years of secretarial/business college necessary to be successful in the performance complex and specialized procedures as they relate to child support.  This position requires the ability to travel and lift and move boxes weighing up to 50 pounds.

Job Responsibilities

1. Performs complex and specialized accounting procedures to achieve the service of income withholding orders or to otherwise dispose of delinquency referrals; provides and issues income withholding orders to employers and other payers of income after verifying that the conditions of service have been met; reports service of order for entry into the Key Information Delivery System (KIDS).

2. Provides customer service both in person and via telephone as inquiries are received at the regional office; accesses KIDS to determine nature and extent of inquiry and provide resolution; reviews and analyzes accounts through the comparison of the Department of Healthcare and Family Services (HFS) computer records and Clerk of the Court payment records to determine correct delinquency amount; using independent judgment in the application of accounting procedures, analyzes child support accounts receivable; travels to various sites to obtain child support information.

3. Gathers information and issues notices of delinquency to responsible relatives whose accounts meet established delinquency guidelines; keyboards delinquency notices.

4. Gathers information and issues referrals for accounts in need of adjustment to designated accounting staff and referrals for cases in need of legal action to attorneys for Child Support Specialists. Lifts and moves boxes of files weighing up to 50 pounds.

5. Establishes and monitors tracking procedures to monitor status of notices of delinquency, income withholding, and other work in progress.

6. Keyboards letters, forms, records, and other documents relative to income withholding operations.

7. Gathers information and submits timekeeping records for Kane County Office.

8. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.      

Minimum Requirements

  • Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college; OR
  • Completion of high school and two years of related office experience; OR
  • Two years of independent business experience
  • Requires extensive knowledge of office practices, procedures, and programs
  • Requires extensive knowledge of composition, grammar, spelling, and punctuation
