Position Overview

Under direction, serves as working supervisor to clerical staff performing a variety of specialized and technical functions; maintains confidential files/documents of active/closed DHS cases and distributes/prepares mail.

Essential Functions

  • Serves as the Clerical Supervisor for the Division of Family and Community Services in the Bloomington Office.
  • Serves as a working supervisor.
  • Monitors reception log, scanning and DataCap processes and reports.
  • Monitors staff in the receipt, sorting, stamping, distribution of incoming and preparing outgoing mail.
  • Reviews and evaluates report of staff activities, error reports audit findings and quality assurance reviews.
  • Reviews the issuance and replacement of LINK cards to verify the proper input of calculations so timely service is received.
  • Performs other duties as required and assigned which are reasonable within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of two (2) years of study at a secretarial/business college and one (1) year of office experience OR Completion of high school and three (3) years of Office Assistant experience. OR Three (3) years independent business experience.
  • Requires ability to keyboard from copy at a minimum net rate of 30 words per minute.

Preferred Qualifications

  • Three (3) year of experience utilizing program operations and policies for a human services organization.
  • Two (2) years of experience utilizing office procedures and programs for a public or private organization.
  • Two (2) years of experience working with business communications in person and automated.
  • Two (2) year of experience directing and supervising the work of clerical support office staff.
  • Two (2) years of experience operating manual and automated office equipment.
  • Two (2) year of supervisory experience assigning work, providing guidance to subordinates, recommending counseling and/or discipline following collective bargaining agreements, training staff and approving time off.
