Position Overview
As an administrative secretary to the Warden at Illinois River Correctional Center, you will be instrumental in assisting with the processing of all aspects of the duties and responsibilities of the Warden’s office. You will ensure that direction disseminated by the Warden and his/her superiors is relayed in a proficient and accurate manner to the appropriate locations. You will also maintain accurate files and electronic documents to ensure the smooth and efficient operation of the Warden’s office. Your organizational skills will make you a key player in an ever changing and fast paced environment. We encourage all qualified applicants to apply.
Essential Functions
- Serves as an administrative secretary.
- Prepares and keyboards documents of a confidential nature.
- Establishes and maintains files for the Warden's office.
- Serve as a receptionist.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and three (3) years of secretarial experience or completion of high school and five (5) years of secretarial experience.
- Requires the ability to keyboard accurately at 55 words per minute.
Preferred Qualifications
- Prefers at least six (6) years of experience performing office secretarial duties/responsibilities for administrative/executive level leadership.
- Prefers at least six (6) years of experience gathering, compiling, interpreting, and entering data for special projects and reports.
- Prefers at least six (6) years of experience receiving and maintaining sensitive information and ensuring confidentiality.
- Prefers at least six (6) years of experience utilizing Microsoft Office, or similar software.
- Prefers at least six (6) years of experience in preparing agendas, scheduling meetings, and taking notes.
- Prefers at least six (6) years of experience in preparing correspondences to staff, individuals in custody and the public.
- Prefers at least six (6) years of experience of answering telephone calls and resolving situations.
- Prefers at least two (2) years of work experience in a correctional setting.
Conditions of Employment
- Requires ability to pass the IDOC/IDJJ background check.
- Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
- Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.
- Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
- This position is considered sedentary work as defined by the U.S. Department of Labor (20 CFR 404.1567(a)). Sedentary work involves lifting no more than 10 pounds at a time and requires occasional lifting, carrying, walking, and standing.
