Position Overview

The Illinois Department of Public Health is seeking a highly motivated individual to service as the Office Coordinator for the Carbondale Public Health Laboratory. This position will be responsible for all clerical duties including answering the phone, greeting visitors, reviewing and correcting sample submission documents, creating correspondence, processing invoices, and communicating with providers.

Job Responsibilities

1.  Provides complex, specialized office support functions for laboratory staff.  

  • Answers telephone calls and routes routing inquiries to appropriate areas within the laboratory, Department or other agencies as indicated.
  • Handles all incoming mail and faxes received by reviewing and appropriately distributing to professional staff and communicating with providers regarding any issues.

 

2.  Assists lab staff in receiving and reviewing all sample submission forms for compliance with regulatory requirements.

  • Makes necessary corrections to demographic data upon data entry.

 

3.  Maintains records of contacts with providers regarding sample submission issues.

  • Tracks issues to resolution.

 

4.  Assists lab staff in composing correspondence, processing fiscal invoice paperwork, and completing daily mailings.

 

5.  Serves as main receptionist for telephone and physical entry.

 

6.  Opens and processes fiscal documents for payment.

 

7.  Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • ​​​​​​​Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college or completion of high school and two years of related office experience or two years of independent business experience.
  • Requires the ability to type accurately at 30 words per minute.

Preferred Qualifications

1.  Two years of office experience.

2. One year experience reviewing various material for composition, grammar, spelling and punctuation.

3. One year experience working in a position that requires good organizational skills and attention to detail.

4. One year experience following oral or written instructions.

5. One year experience operating commonly used manual and automated office equipment and performing routine maintenance.

6. One year experience with spreadsheet applications and word processing packages.
