Position Overview

We are looking for someone to join our Office of Administrative Services team to perform complex and specialized clerical duties providing information and assistance, record processing, and office support. The incumbent will process information using agency policies and procedures using their own initiative and judgment. The incumbent will perform receptionist/clerical duties, respond to visitors and callers to the Illinois Criminal Justice Information Authority. This position is the initial point of contact for all visitors to the Authority. Essential Functions

  • Greets high-level government officials from statewide criminal justice agencies, representatives of the press, agency staff, and the general public
  • Maintain records and reports as directed
  • Performs secretarial and other support tasks
  • Serves as initial Conference Room Scheduler
  • Assist the Chief of Staff, HR Director and Office Manager as needed
  • Maintain active membership on ICJIAQ's Activity Committee
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
  • Requires two years of related office experience, or two years of independent business experience.
  • Requires the ability to speak and write in Spanish at a colloquial skill level.

Preferred Qualifications

  • Prefers one year working knowledge of Microsoft Word and Excel
  • Prefers one year experience working independently, organizing and prioritizing projects
  • Prefers one year demonstrated ability to meet people easily and to establish and maintain satisfactory working relationships with other employees, state departments, and the public

Conditions of Employment

  • Requires completion of a background check and self-disclosure of criminal history
  • Requires ability to travel in the performance of duties, with overnight stays as appropriate. Requires appropriate, valid driver’s license
  • This position is considered medium work as defined by the U.S. Department of Labor (20 CFR 404.1567(c)). Medium work involves lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds
