Position Overview
The Illinois Department of Employment Security (IDES) is seeking an organized, professional, and results oriented individual to serve as a Board of Review (BOR) Office Support. Responsibilities include performing a variety of technical secretarial and complex, specialized clerical office support functions for the IDES Board of Review (BOR) Division, such as typing, scanning and uploading legal decisions and related records and documents, preparing complex reports, reviewing and editing audio and video files, maintaining a filing system for BOR documents, and creating a digital copy of the record for each case. This position provides a great opportunity for someone who has experience providing secretarial and clerical office support in a fast-paced environment and is familiar with legal terminology and the preparation of legal documents. The ideal candidate for this position will have experience providing office support for a mid to large sized program or organization and independently exercising initiative and judgment in performing duties. Essential Functions
- Under direction, serves as a Board of Review (BOR) Office Support for the Illinois Department of Employment Security (IDES)
- Determines and applies relevant Board of Review (BOR) methods and procedures to obtain, prepare, organize, track and/or disseminate a variety of materials, including but not limited to records, documents, reports, correspondence and audio and video files, to ensure compliance with agency, state and federal statutes, rules, regulations and policies
- Develops, formats and/or inputs information from systems including but not limited to the Illinois Benefit Information System (IBIS) to create materials including but not limited to agency records and legal documents for each case
- On a rotational basis, serves as office receptionist
- Keeps abreast of changes to rules, regulations, guidelines, methodologies, software and systems related to Board of Review support functions
- Performs other duties as required or assigned which are reasonably within the scope of those previously defined
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of high school
- Requires two (2) years of office experience
- Requires the ability to type accurately at 45 wpm
- Requires ability to speak and write the Spanish language at a colloquial skill level in carrying out position duties in conjunction with Spanish speaking clients
Conditions of Employment
- Requires an Illinois State Police background check and self-disclosure of any criminal history
- Requires ability to utilize the Spanish language in the performance of all duties
- Requires ability to travel in the performance of duties, with overnight stays as appropriate
- This position is considered light work as defined by the U.S. Department of Labor (20 CFR 404.1567(b)). Light work involves lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. This job may require a good deal of walking or standing, or involves sitting most of the time with some pushing and pulling of arm or leg controls
- Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties
