Position Overview

The Illinois Department of Commerce and Economic Opportunity (DCEO) is seeking to hire an Operations Coordinator for its Chicago office. The Chicago Operations Coordinator oversees core agency functions that support the various DCEO divisions. The Chicago Operations Coordinator will serve many roles in the office, such as emergency management, facility management, and fleet management. This position will also oversee daily functions such as mailing, shipping, and supply levels. The ideal candidate for this position will have great attention to detail, the ability to multi-task, and experience managing core functions for a large office. Essential Functions

  • Serves as the Facility Services Coordinator for the Chicago office.
  • Supervises and conducts motor pool operations and fleet management for the Chicago office under general direction of the Agency Vehicle Coordinator.
  • Manages and oversees reception, mail service, and supplies for the Chicago office.
  • Manages records for the Chicago office under direction of the Records Retention Coordinator.
  • Serves as Working Supervisor.
  • Coordinates annual inventory for the Chicago office under general direction of the Property Control Officer.
  • Provides physical support to move equipment, records, and supplies.
  • Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.

Minimum Qualifications

  • Requires the knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with coursework in business or public administration. 
  • Requires two (2) years of responsible administrative experience in a public or business organization.

Specialized Skills

  • Requires two (2) years of experience in a supervisory leadership role. 
  • Requires two (2) years of experience in facility management and utilizing a work order system. 
  • Requires one (1) year of experience managing a motor pool fleet.

Preferred Qualifications

  • Prefers two (2) years of experience in a supervisory leadership role. 
  • Prefers two (2) years of experience in facility management and utilizing a work order system. 
  • Prefers one (1) year of experience managing a motor pool fleet. 
  • Prefers two (2) years of experience in a supervisory leadership role. 
  • Prefers one (1) year of experience managing a records retention schedule. 
  • Prefers one (1) year of experience sending and receiving mail and shipments in a facility setting. 
  • Prefers one (1) year of experience maintaining and ordering supplies such as shipping and mailing supplies, paper supplies, and office supplies.

Conditions of Employment

  • Requires ability to travel in the performance of duties, with overnight stays as appropriate. 
  • Requires appropriate, valid driver’s license. 
  • Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime. This may require the ability to work evenings and weekends. 
  • Requires completion of a background check and self-disclosure of criminal history. 
  • This position is considered medium work as defined by the U.S. Department of Labor (20 CFR 404.1567(c)). Medium work involves lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds.
