Under direction of the Chicago Risk Management Division Manager, performs highly technical secretarial duties; types reports, department forms/templates, correspondence, personnel evaluations, memoranda, etc. while using personal computer; receives bank examination reports in electronic form and processes into final format for distribution; screens calls and visitors for supervisors; makes and cancels appointments and reservations; prepares travel vouchers; answers questions from the public, bank representatives, etc. concerning the banks and explains agency procedures or refers inquiries to the appropriate person.

 

Job Responsibilities

  1. As secretary to the Chicago Risk Management Division Manager, operates personal computer to complete a variety of reports, department forms/templates, correspondence, memoranda, personnel evaluations, etc.
  2. Implements procedures to achieve office goals and objectives; establishes priorities, ensures that documents are processed and disseminated within prescribed procedures and time frames.
  3. Conducts special projects and studies by gathering data, coordinating, monitoring and completing assigned projects; analyzes and interprets data and prepares reports for management; assembling reports.
  4. Organizes and maintains files of examination reports, correspondence and other reports pertaining to the risk management, supervision and organization of banks.
  5. Receives visitors, answers phones, relays messages and represents the manager through routine oral and written contact with other government officials, business and the general public; makes and cancels appointments and reservations; prepares travel vouchers. 
  6. Serves as timekeeper.
  7. Receives, sorts, opens, screens, and distributes incoming mail; mails outgoing correspondence, reports and other materials.
  8. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill and mental development equivalent to completion of two years secretarial or business college and one year of secretarial experience; or completion of high school and three years of secretarial experience. 
  2. Requires skill in typing accurately at 55 wpm. 

Knowledge, Skills, and Abilities

  1. Requires working knowledge of agency programs, rules, and regulations.
  2. Requires extensive knowledge of principles of office management.
  3. Requires extensive knowledge of of manual and automated office equipment.
  4. Requires extensive knowledge of arithmetic computations.
  5. Requires extensive knowledge of composition, grammar, spelling and punctuation.
  6. Requires ability to establish and develop written instructions and procedures.
  7. Requires ability to apply human relations skills in interaction with management, representatives of government and private industry, and the public.
  8. Requires ability to communicate clearly and effectively both orally and in writing.
  9. Prefers extensive knowledge of Microsoft Word and Excel. 

Employment Conditions

Education Degree

  1. Requires knowledge, skill and mental development equivalent to completion of two years secretarial or business college and one year of secretarial experience; or completion of high school and three years of secretarial experience.
