Position Overview

The Division of Family and Community Services is seeking to hire a position to perform secretarial and administrative work for the Bureau of Basic Supports.  This position independently carries out complex and varied assignments; gathers and disseminates information; maintains public relations; conducts special review and evaluation projects for supervisor and verifies the development of information for management decisions; operates Word and other software programs for preparing correspondence, memoranda, reports, statistical charts and balance sheets; maintains hard copy and electronic files; and establishes controls and maintains deadlines within the Bureau.

Job Responsibilities

  1. Serves as secretary to the Bureau Chief.
  2. Researches and gathers information and independently performs special projects and studies within the Bureau, some of which are complex and sensitive in nature.
  3. Monitors and directs the mail control system.
  4. Maintains Bureau Chief's schedule.
  5. Routes and distributes work assignments to all program areas within the Bureau.
  6. Serves as receptionist.
  7. Operates telefax machines, send and receive information for the Bureau.
  8. Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill, and mental development equivalent to completion of two (2) years of secretarial or business college and one (1) year of secretarial experience,

          OR

          completion of high school and three (3) years of secretarial experience.

      2. Requires ability to keyboard accurately at 55 wpm.

 

  • Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.

Preferred Qualifications

  1. One (1) year of experience working with agency programs, rules, and regulations
  2. One (1) year of experience working with statistical analysis.
  3. One (1) year of experience working with manual and automated office equipment.
  4. One (1) year of experience working with composition, grammar, spelling, and punctuation.
  5. One (1) year of experience working with computer program applications.
  6. One (1) year of experience establishing and developing written instructions and procedures.

Conditions of Employment

  1. Requires the ability to travel locally.
