Position Overview
The Illinois Department of Insurance is seeking to hire an Office Specialist to perform a variety of important staff functions assisting in the administrative activities for the Facilities, Security, and Property Control Unit. Under the supervision of the Assistant Deputy Director for Facilities, Security, and Property Control, this position performs a variety of functions to complete the needs of the Procurement/Administration section of the Department. The duties of this position include tracking the issuance and movement of Department property, coordinating plans and programs to ensure the security and safety of Department staff, and ensuring completion of maintenance and repair of Department vehicles. The ideal candidate for this position will be flexible, self-motivating, and capable of successfully performing a variety of tasks. Essential Functions
- Provides complex and specialized security-related support services to the Facilities, Security, and Property Control Unit within the Procurement/Administration Section.
- Assists the Assistant Deputy Director of Facilities, Security, and Property Control by providing paraprofessional support for the completion of facility operations duties.
- Assists the Property Control Officer by providing paraprofessional support for the completion of necessary property control duties.
- Working with the Storekeeper, provides paraprofessional support for the handling of incoming and outgoing mail and packages, and the receiving, recording, storage and disbursement of office supplies.
- Working with the Travel Management & Security Coordinator, provides paraprofessional support in the completion of Department fleet coordination duties.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of two (2) years of secretarial/ business college and one (1) year of office experience, or completion of high school and three (3) years of office experience, or three (3) years of independent business experience.
Qualifying state employees, in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
- Prefers at least one (1) or year of experience completing asset tracking and periodic inventory duties.
- Prefers at least one (1) year of experience operating and maintaining fleet vehicles for a public or business organization.
- Prefers at least one (1) year of experience coordinating onsite security and evacuation procedures.
- Prefers at least one (1) year of experience operating commonly used office equipment and performing basic maintenance.
- Prefers at least one (1) year of experience shipping mail and packages using commercial shipping services.
- Prefers basic knowledge of Microsoft Office 365 Suite programs such as Word, Excel, and Outlook, or other related software.
Employment Conditions
- Requires the ability to pass a background check.
- Requires ability to travel in the performance of duties, with overnight stays as appropriate. Requires appropriate, valid driver’s license and the ability to safely operate State vehicles.
This position is considered heavy work as defined by the U.S. Department of Labor (20 CFR 404.1567(d)). Heavy work involves lifting no more than 100 pounds at a time with frequent lifting or carrying of objects weighing up to 50 pounds.
