Position Overview

The Office of General Counsel is seeking to hire a dynamic, organized, detail-oriented individual to serve as Executive Assistant for the General Counsel. The Executive Assistant will coordinate projects from areas under the purview of the General Counsel, serve as primary point of contact between the General Counsel and representatives from other Offices/Divisions of the Department of Human Services (DHS), the public, and other state agencies, and speak on behalf of the General Counsel and as requested, the Department at meetings and in programmatic and policy matters. The Executive Assistant will conceptualize, develop, and recommend procedural guidelines for the development and implementation of programs related to the efficient operation of the Office and other areas of DHS and coordinate, direct, and participate in a variety of special projects, including those of a highly sensitive and confidential nature. The Executive Assistant will coordinate the processing of contractual documents and serve as the General Counsel’s designee in managing the time of direct reports.

Job Responsibilities

  1. Serves as Executive Assistant for the General Counsel, Office of General Counsel, Department of Human Services. 
  2. Monitors, directs, and participates in a variety of special projects, many of which are of a sensitive and/or highly confidential nature including legal decisions, pending legal actions by the Department, personnel issues, grievances, and labor relations issues, etc.
  3. Serves as representative of the General Counsel on Department-wide projects, work teams and task forces involving the Office.
  4. Coordinates the processing of DHS Contract Agreement Approval Forms and Decision Memos through the Office of General Counsel.
  5. Serves as General Counsel’s designee in managing the time of direct reports and as a liaison between the Office of General Counsel, outside attorneys, Governor’s Office staff, program areas, members of the public, customers, and other state agencies.
  6. Performs other duties as assigned or required which are reasonably within the scope of duties enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill, and mental development equivalent to completion of four (4) years college with course work in business or public administration.
  2. Requires three (3) years progressively responsible administrative experience in a public or private organization.

Preferred Qualifications (in priority order)

  1. Five (5) years of professional experience meeting deadlines with strong attention to detail and the ability to use critical thinking skills while multi-tasking multiple projects.
  2. Five (5) years of professional experience communicating with internal and external stakeholders, ensuring detailed and critical analysis of work performed.
  3. Three (3) years of professional experience in a private or public organization maintaining confidentiality and handling sensitive information with professionalism.
  4. Three (3) years of professional experience monitoring, directing, and participating in special projects for a public or private organization.
  5. Three (3) years of professional experience assisting on contractual, personnel, budgetary, and timekeeping matters for a public or private organization.
  6. Three (3) years of professional experience developing and interpreting policies and procedures for a public or private organization.
