Position Overview
Family & Community Services is seeking to hire a self-motivated, knowledgeable, ambitious, detail-oriented Office Administrator for the Central File Unit in Cook County. The Office Administrator serves as the working supervisor. Monitors activities of the Central File Unit clerical staff in the maintenance of active case files such as transfers, status of and status changes for clients. Maintains security of active and closed files. Performs timekeeping and payroll duties, entering time on payroll system, maintaining timekeeping records and reconciling payroll.
Essential Functions
- Monitors activities of the Central File Unit clerical staff in the maintenance of active case files such as transfers, status of and status changes for clients.
- Serves as working supervisor.
- Maintains security of active and closed files.
- Performs timekeeping and payroll duties, entering time on payroll system, maintaining timekeeping records and reconciling payroll.
- Operates automated and manual pallet jacks and forklifts to retrieve case records in response to staff requests.
- Attends supervisory meetings regarding policies and procedures.
- Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of high school and two (2) years of office experience; or two (2) years of independent business experience.
* Qualifying state employees, in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
- Two (2) years of clerical experience utilizing program operations and policies for a human services organization.
- Two (2) years of clerical experience utilizing office procedures and programs for a public or private organization.
- Two (2) years of clerical experience working with business communications in person and automated.
- Two (2) years of clerical experience operating automated and manual pallet jacks and forklifts.
- Two (2) years of clerical experience in storekeeping and warehouse methods and procedures of storage and shipment for a variety of goods.
- Two (2) years of supervisory experience assigning work, providing guidance to subordinates, recommending counseling, and training staff and approving time off.
Conditions of Employment
- Requires the ability to lift and carry boxes weighing up to 50 pounds.

Work Hours: 8:30am-5:00pm Monday-Friday, 1 hour unpaid lunch.
