Position Overview
The Division of Family and Community Services is seeking to hire an office administrator who serves as a working supervisor and monitors activities of the Central File Unit staff in the maintenance of financial transactions for clients to ensure the confidentiality of financial transactions in the clients files. The Division’s mission is to assist Illinois residents by connecting them with public assistance programs and services. Through our programs, services and prevention efforts, the Division improves the health and well-being of individuals and promotes self-sufficiency and integrity of families of Illinois.
Job Responsibilities
- Monitors activities of the files unit clerical staff in the maintenance of financial transactions for clients to ensure the confidentiality of financial transactions in the clients’ files.
- Serves as a working supervisor.
- Maintains security of postage machine, mail desk, stockroom, and active/closed files.
- Reviews the issuance and replacement of LINK cards to verify the proper input of calculations so timely service is received.
- Responds to inquiries from staff and public at large regarding case status.
- Attends supervisory meetings regarding policies and procedures.
- Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of two (2) years of study at a secretarial/business college and one (1) year of office experience
OR
Completion of high school and three (3) years of Office Assistant experience
OR
Three (3) years independent business experience.
Preferred Qualifications
- One (1) year of experience utilizing office practices, procedures, and programs.
- One (1) year of experience utilizing elementary mathematics.
- One (1) year of experience utilizing composition, grammar, spelling, and punctuation.
- One (1) year of experience operating commonly used automate office equipment and personal computer.
- One (1) year of experience following oral or written instructions.
- One (1) year of experience directing and supervising the work of a nonprofessional office staff.
Work Hours: 8:30am - 5:00pm Monday - Friday
