Position Overview

Under direction, independently performs difficult and complex clerical functions in Adjudicative and Records Services for the Office of Legal Affairs.  Interacts with Department staff and the public to receive legal pleading, file and document requests.  Maintains files and/or records of formal complaint files, answers, amended pleadings, preliminary and status hearing notices, motions and other notices, discovery requests and disclosures, subpoenas, Administrative Law Judge reports, orders, etc.  Enters and logs all related mail activities in Department’s computer program.  Mails or electronically mails Petitions for Restoration and Requests for Hearing packets. 

Job Responsibilities

  • Interacts with Department staff and the public to receive legal pleading, file and document requests.  Reviews and determines the appropriate records series, prosecution file, attorney work product or public index file
  • Maintains files and/or records of formal complaint files, answers, amended pleadings, preliminary and status hearing notices, motions and other notices, discovery requests and disclosures, subpoenas, Administrative Law Judge reports, orders, etc
  • Enters and logs all related mail activities in Department’s computer program.  Logs daily outgoing certified and orders. 
  • Upon request, mails or electronically mails Petitions for Restoration and Requests for Hearing packets
  • Upon receipt of an Administrative Review request, locates record and organizes in chronological historical order
  • Utilizes a multifunction machine to print labels, documents, and forms and a highspeed scanner to scan files
  • Reviews closed case file report to pull, file in chronological order, and box closed case files for records retention. 
  • Composes and proofreads a variety of correspondences, Orders, reports, memoranda’s, vouchers, requests and related materials; verifying accuracy, grammar, and punctuation.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

 

Knowledge, Skills, and Abilities

  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience
  • Requires extensive knowledge of office practices, procedures and programs; composition, grammar, spelling and punctuation
  • Requires working knowledge of basic mathematics.  Requires elementary knowledge of agency programs, rules and regulations
  • Requires ability to follow oral or written instructions; operate commonly used manual and automated office equipment and perform routine maintenance
  • Requires ability to type accurately at 45 WPM
  • Requires the ability to move, on a regular basis, boxes weighing a maximum of 60 pounds
  • Prefers working knowledge of Microsoft Office and Adobe Acrobat Pro
