Position Overview:

The Illinois Department of Juvenile Justice is looking for a candidate to serve as an Office Associate to work at IYC Chicago in the Record's Office. This position maintains the tracking system for pre-scheduled absences such as court writs, medical furloughs, day releases, funeral furloughs and authorized absences. The incumbent enters prisoner review board results into the Juvenile Tracking System and files documents into master files in a designated order. The incumbent also provides clerical support functions for staff.  We are looking for an energetic candidate looking to be an integral part of the IYC Chicago Team. Essential Functions:

  • Keyboards a variety of complex and technical reports including legal terminology such as Notice of Eligibility for Parole consideration, arrival packets, release notifications, notice of release/discharge from Juvenile Division, and Indicator reports.
  • Coordinates and tracks all incoming and outgoing documents related to monthly Prisoner Review Board activity.
  • Provides assistance to the record office supervisor in performing sentence calculations in which the Maximum Discharge date is set, including and restoration of good conduct credits, enters Program Assignment Committee results and Deoxyribonucleic Acid (DNA) testing dates in Juvenile Tracking System.
  • Reviews master files of incoming youth to the facility for completeness. 
  • Runs daily, weekly and monthly reports from Juvenile Tracking System. 
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications:

  • Knowledge, skill, and mental development equivalent to completion of high school and two years of office experience.
  • Ability to keyboard accurately at 45 words per minute.

Preferred Qualifications (In Order of Significance):

  • Extensive knowledge of office practices, procedures, and programs.
  • Extensive knowledge of composition, grammar, spelling, and punctuation.
  • Working knowledge of basic mathematics.
  • Elementary knowledge of agency programs, rules, and regulations.

Conditions of Employment:

  • Ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
  • Certain provisions of the revolving door restrictions contained in 5 ILCS 430/5-45 apply to this position. As a result, the employee should be aware that if offered non-State employment during state employment or within one year immediately after ending State employment, the employee shall, prior to accepting any such non-State employment offer, notify the Office of the Executive Inspector General for the Agencies of the Illinois Governor (OEIG) or may be subject to a fine.

Over 900 staff members from across various departments—security, programming, education, mental health, and more—collaborate with the understanding that youth are physically, emotionally, and cognitively different from adults. The department provides extensive services to young people through a developmental, treatment-focused model of care that builds youth resiliency, engages families, and promotes community safety at the five youth facilities it operates across the state. IDJJ serves and houses approximately 150 youth and is responsible for approximately 500 youth on Aftercare in various Illinois’ communities.
