Position Description and Responsibilities

 

Under direction of the Business Administrator (Public Service Administrator), performs highly responsible and technical secretarial and office support functions; Serves as secretary to the Bisiness Administrator; gathers and compiles data for special projects, keyboards correspondence and memos. Serves as a receptionist; answers and screens calls.

 

35%    As an administrative secretary, conducts special projects and studies by gathering data, coordinating, monitoring and completing assigned projects.

 

25%    Functions as a receptionist.

 

20%    Prepares and keyboards correspondence of a routine and confinential nature, notifying appropriate staff of departmental meetings, minutes of staff meetings and other meetings.

 

10%    Assist payroll staff.

 

05%    Notifying next of kin or legal guardian of deceased offenders if monies remain to assist families with distribution of funds.

 

05%    Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

 

Minimum Requirements

 

  1. Requires knowledge, skill and mental development equivalent to two years of secretarial/business college or completion of high school and two years of related office experience or two years of independent business experience.
  2. Requires extensive knowledge of office practices, procedures, and programs.
  3. Requires extensive knowledge of composition, grammar, spelling and punctuation.
  4. Requires extensive knowledge of basic mathematics.
  5. Requires working knowledge of the logic of computers programs/language.
  6. Requires ability to keyboard accurately at 30 wpm.

Conditions of Employment

 

  1. Requires the ability to pass the Illinois Department of Corrections background check. 
  2. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois.
