Position Overview
The Division of Mental Health is seeking to hire an Executive Secretary II located in Elgin, Illinois. Performs administrative secretarial work for the DMH Associate Director of Hospital Operations and other designated administrative/professional staff. Plans and performs complex administrative work including substantial word processing activity and complex and confidential materials involving facility-wide program policies, investigative reports, confidential labor relations issues and highly sensitive and confidential materials. Serves as receptionist. Acts as resource to other staff in the DMH Associate Director’s Office. Coordinates and schedules meetings/appointments and travel plans for Associate Director and other designated staff.
Essential Functions

As administrative secretary, coordinates and monitors work flow to and from the Division of Mental Health (DMH) Associate Director of Hospital Operations and other designated administrative/professional staff offices, making independent decisions for resolution of problems; works with staff to assure proper and timely completion of assignments.

Performs administrative functions for the DMH Associate Director of Hospital Operations and other designated administrative/professional staff.

Serves as receptionist.

Acts as a resource to other staff in the DMH Associate Director’s office, providing guidance and direction in the use of word processing computer programs and analytics and electronic mail.

Coordinates and schedules meetings/appointments for the DMH Associate Director of Hospital Operations and other designated administrative/professional staff.

Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
-
Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and two (2) years of secretarial experience or completion of high school and four (4) years of secretarial experience.

Requires the ability to keyboard accurately at 55 wpm and take dictation at 80 wpm.
*Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
-
Four (4) years of secretarial experience for a public or private organization.
-
Three (3) years of experience working in a public or private organization maintaining confidentiality and handling sensitive information with professionalism.

Two (2) years of experience conducting special projects which include evaluating existing and proposed programs, policies and procedures for public or private organization.

Two (2) years of experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
-
Two (2) years of experience working with Excel, MS Word and other related document programs/applications.

Two (2) years of experience researching and developing correspondence to internal/or external individuals.
Conditions of Employment

Requires the ability to utilize office equipment, including personal computers.

Requires ability to pass the IDHS background check.

Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
