Position Overview

The Illinois Department of Corrections at Hill Correctional Center is seeking a detail-oriented Office Assistant to serve in the facility mailroom. The selected candidate will provide services for a growing population of individuals in custody. Additionally, the successful candidate will screen and house the mail accordingly by agency rules and regulations. Job Responsibilities

  1. Assists in the daily processing of in-coming and out-going individuals in custody and staff mail according to U.S. Postal Service regulations.
  2. Maintains permanent records for each individual in custody’s in-coming mail concerning monies received.
  3. Operates common office equipment such as word processing terminals, postal machines, and copy machines.
  4. Keyboards memos relating to mail room offices process and procedures, proofreads documents for clarity, punctuation, grammar and spelling.
  5. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill, and mental development equivalent to completion of high school and one (1) year related office experience.
  2. Requires the ability to keyboard accurately 35 words per minute.

Preferred Qualifications (In Order of Significance)

  1. Prefers one (1) year of experience in working with confidential material.
  2. Prefers one (1) year of experience in alpha-numeric sequencing.
  3. Prefers one (1) year of experience in operating common office equipment such as multi line phone systems, copiers, fax machines, and scanners.
  4. Prefers one (1) year of experience in troubleshooting common office equipment such as copiers, fax machines, and scanners.
  5. Prefers one (1) year of experience in using Microsoft Office programs such as Word and Outlook or similar like computer programs for word processing and email.
  6. Prefers one (1) year of experience in talking to the public about rules/guidelines followed by employer in order to get to an appropriate end result.
  7. Prefers one (1) year of experience in reading, interpreting, and applying rules and/or guidelines of an organization.
  8. Prefers one (1) year of experience using basic mathematics in the workplace.
  9. Prefers one (1) year of experience applying U.S. Postal Service regulations.
  10. Prefers one (1) year of experience weighing and computing proper postage to prepare items for delivery to the Post Office.

Conditions of Employment

  1. Requires the ability to ability to lift and move objects weighing up to 25 pounds.
  2. Requires ability to pass the IDOC/IDJJ background check.
  3. Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug Testing policy. The use of unauthorized drugs, including cannabis, by an employee, regardless of the position held is prohibited.
