Position Overview

As part of the Business Office Team, as Timekeeper you will hold a primary role in the processes that ensure Graham Correctional Center staff and contractual employees are compensated accurately and timely.  You will have access to confidential employee information that is of great importance to our staff, and they will count on you to ensure they are being compensated fairly.  This position requires a self-motivated, detail-oriented individual that is responsible for compiling accurate timekeeping records.  Timekeepers are required to meet hard deadlines, work well under pressure as well ass interface with employees at all levels.  If you are an employee that enjoys a challenging role performing duties that are invaluable to operations, this position is a great fit for you.  We invite you to become part of the business operations at Graham Correctional Center.  Our employees receive exceptional benefits while working in a correctional setting.  We encourage all qualified candidates to apply. 

Job Responsibilities

  1. Maintains Graham Correctional Center's employees time and attendance records including contractual employees.
  2. Prepares and audits complex financial documents.
  3. Prepares Payroll Time Report and submits to Payroll Technician.
  4. Provides assistance to other Business Office accounting staff in the performance of duties.
  5. Assists Trust Fund Technician.
  6. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above. 

Minimum Qualifications

  1. Requires knowledge, skill and mental development equivalent to completion of two (2) years of college and completion of an approved training course OR three (3) years related clerical bookkeeping experience.

Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirement for this class.

Preferred Qualifications

  1. Prefers at least one (1) year of data entry experience
  2. Prefers at least one (1) year of experience following and implementing policies and procedures.
  3. Prefers at least six (6) months of experience working with Microsoft Excel, or similar computer software program.
  4. Prefers at least one (1) year of experience fact gathering, identifying discrepancies, and resolving discrepancies found in documentation.
  5. Prefers at least six (6) months experience with daily and monthly business reconciliations.
  6. Prefers at least one (1) year of experience compiling information from various sources to be summarized and submitted. 
  7. Prefers at least one (1) year of experience in adhering to contractual agreements, rules, and/or guidelines.
  8. Prefers at least six (6) months of experience working with confidential information.
  9. Prefers at least one (1) year of experience working in an office setting. 

Conditions of Employment

  1. Requires ability to pass the IDOC/IDJJ background check.
  2. Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug Testing policy. The use of unauthorized drugs, including cannabis, by an employee, regardless of the position held is prohibited.
