Position Description and Job Responsibilities

Under general supervision of the Business Administrator (PSA), performs a variety of difficult clerical duties processing all outgoing institutional mail for delivery to the Post Office; processes all incoming and outgoing mail for inmates; searches for contraband.

35%   Process and inspects all incoming inmate mail, checking for contraband, moneyorders, personal checks, cash stamps and records; accepts money orders keeping records of name of sender and initiates entry of the information to the inmate account; forwards moneyorders to the Trust Fund Office; returns all stamps, cash, and personal checks to the sender and records same; maintains daily files to ensure compliance with procedures; processes and inspects all outgoing inmate mail for contraband.

30%   Returns and forwards to sender mail for inmates paroled, discharged or transferred; maintains forwarding records of all inmates leaving the institution; Maintains records for each inmate's mail concerning dates letters were received and sent; tabulates quantity received; keeps mailing list and handles routine problems concerning mail.

20%   Scans all mail for security issues and relays important information regarding security issues to Internal Affairs and/or supervisor; maintains safety and security of mailroom.

10%  Accepts and distributes all incoming institutional mail; process institutional mail for delivery to the Post Office; sort and distribtes all inter-institutional mail; prepares reports on postage used.

05%  Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
 

Minimum Requirements

  • Requires knowledge, skill and mental development equivalent to completion of high school and one year of related office experience;
  • Requires working knowledge of alpha-numeric  sequencing; 
  • Requires working knowledge of office practices, procedures and programs;
  • Requires working knowledge of basic mathematics.

  • Requires the ability to pass the IDOC/IDJJ background check.
