Position Overview
The Division of Developmental Disabilities is seeking to hire an Administrative Assistant I for the Shapiro Center located in Kankakee, Illinois to provide administrative support within the Fiscal Services Department. Under general direction of the Business Manager, serves as administrative support. Assists in the interpretation and implementation of policies and procedures relative to Storehouse, Security, Campus Maintenance, Support Services, Campus Delivery, Transportation and Switchboard; conducts reviews and analysis of procedures within the unit to determine effectiveness and makes recommendations for policy and procedure changes.
Essential Functions
- Serves as administrative support to the Business Manager for the Shapiro Center.
- Conducts special projects and studies by gathering data, coordinating, monitoring and completing assigned projects.
- Assists supervisor in the planning, developing, organizing, implementing, evaluation and performing of office procedures.
- Develops and maintains good working relationships with inter-departmental personnel as well as other departments within the facility.
- Interprets and explains policy and procedures relative to the office functions to other administrative staff and employees.
- Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
- Requires one (1) year of professional experience in a public or private organization or completion of an agency approved professional management training program.
Preferred Qualifications
- Two (2) years of professional experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
- Two (2) years of professional experience communicating effectively with both internal and external stakeholders in oral and written form.
- Two (2) years of professional experience working in a public or private organization maintaining confidentiality and handling sensitive information with professionalism.
- Two (2) years of professional experience managing projects for a public or private organization.
- Two (2) years of professional experience conducting reviews to ensure compliance with fiscal and procedural mandates within a fiscal department for a public or private organization.

- Requires the ability to travel in the performance of job duties.
- Requires ability to pass the IDHS background check.
- Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
