Position Overview
The Division of Developmental Disabilities is seeking to hire an Administrative Assistant I for the Shapiro Center located in Kankakee, Illinois. The incumbent will assist in the monitoring of Center compliance with Policies, Procedures, Directives, Practices, and Standards of the Department of Human Services, Health Care Financing Administration (HCFA), and other accrediting organizations, Illinois Department of Public Health (IDPH), and Shapiro Center. The Administrative Assistant will evaluate through observation and review of written material to assure compliance with relevant standards and policies.
Job Responsibilities
1. Serves as administrative assistant to the Assistant Center Director.
2. Evaluates through observation and review of written material assure compliance with relevant standards and policies.
3. Monitors through observation, interview, and review of written reports, implementation and effectiveness of CDB plans/projects comparing desired outcome to actual outcome.
4. Conducts other quality enhancement activities and comprehensive reports of Center compliance with standards relating to areas such as living area environmental conditions, life safety conditions and public health standards.
5. Reviews and monitors information of facility plans of correction which address deficiencies and results from surveys conducted by Public Health, the Illinois Environmental Protection Agency, Equip for Equality, State Fire Marshall, Boiler Inspector and other surveying entities.
6. Conducts and monitors in-service training of staff to assure services are delivered in a manner consistent with applicable standards.
7. Performs other duties as required or assigned which are reasonably within the scope of the above enumerated duties.
Minimum Qualifications
1. Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
2. Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program.
Preferred Qualifications (in priority order)
1. Two (2) years of professional experience meeting deadlines with strong attention to detail while multitasking multiple projects.
2. One (1) year of professional experience conducting special projects which include evaluating existing and proposed programs, policies and procedures for a public or private organization.
3. Two (2) years of professional experience effectively communicating with both internal and external officials, providers and/or the general public in oral and written form.
4. Two (2) years of professional experience researching and developing correspondence to internal and/or external individuals.
5. Two (2) years of professional experience working in a public or private organization maintaining confidentiality and handling sensitive information with professionalism.
6. Two (2) years of professional experience working in an environment that encourages knowledge of respect for and development of skills to engage with those of other cultures or backgrounds.
7. One (1) year of basic proficiency in Microsoft Office Suite, including Word, Access and Excel.
Conditions of Employment
1. Requires the ability to work after business hours, weekends and holidays.
2. Requires the ability to meet all agency vaccine/health-related policies and guidance.
3. Requires ability to pass the IDHS background check.
4. Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
