Position Description and Responsibilities

 

Under direction of the Health Care Unit Administrator (Public Service Administrator), performs a variety of complex, specialized clerical information and assistance, keyboarding, record processing, and secretarial and general office support functions that involves related steps, processes and/or methods requiring application of agency policies and procedures and the exercise of initiative and judgement in distinguishing among variable and identifying applicable standards; determines work methods and procedures to complete assignments; provides information/assistance to explain or clarify rules, processes or procedures. 

 

35%       Provides clerical office support as secretary to the Health Care Unit, keyboarding a variety of correspondence, stalislical reports, documents, forms, reports, i.e. Health Services Report, High Risk Report, Contract Monitoring, or other information from handwritten hard copies or sent via computer.

 

20%       Develops complex medical forms pertaining to Health Care Unit procedures.

 

15%       Collects, reads, sorts and delivers incoming mail.

 

15%       Organizes and maintains filing system, including but not limited to confidential credential files, confidential Continuous Quality Improvement files, licensure files, Employee Medical Flies, and on-going Health Care audit files.

 

10%       Enters call passes into Offender 360 (0360) for Heallh Care Unit as needed.

 

05%       Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

 

Minimum Requirements

 

  1. Requires knowledge, skill and menial development equivalent to completion of high school and two years of office experience.
  2. Requires extensive knowledge of office practices, procedures and programs.
  3. Requires extensive knowledge of composition, grammar, spelling, and punctuation.
  4. Requires working knowledge of basic mathematics.
  5. Requires elemenlary knowledge of agency programs. rules and regulations.
  6. Requires ability follow oral and written instructions.
  7. Requires ability to operate commonly used manual and automated office equipment and perform routine maintenance.
  8. Requires the ability to keyboard accurately 45 words per minute.
  9. Prefers having working knowledge of Word and Excel.

 

Conditions of Employment

 

  1. Requires the ability to pass the Illinois Department of Corrections background check.
