Job Responsibilities

Under the general supervision of the Executive 2, performs specialized clerical work in typing and processing Order for Delivery (OFD), letters, vendor bid forms, Small Business Set Aside (SBSA) forms, contracts and all other forms as needed by the facility.

  1. Home Fund, Member Benefit Fund and Prince Benefit Fund: Prepares OFD's, assigns number, logs, assigns DOC codes, prints, obtains approval and distributes to appropriate departments, files OFD upon completion
  2. Contract Release Orders; logs in sequential order into the IGPS system, obtains approvals, files the approved documents, prepares any amendments or changes if required and re-submits for approvals
  3. Prepares the Request for Quote (RFQ), solicits all SBSA vendors under the appropriate procurement category, reviews vendor bids with the Executive 2, prepares SBSA waivers, submits for approval, files all documents in appropriate location
  4. Prepares Procurement Business Cases (PBC) as instructed; reviews for accuracy and forwards for approvals,, files vendor invoices and bureau payment entry paperwork to appropriate location
  5. Functions as back up in the Members Trust Fund (Bank)
  6. Answers incoming calls and forwards to necessary person if unable to assist caller
  7. Performs other duties as requierd or assigned that are reasonably within the scope of the duties enumerated above
     

Knowledge, Skills, and Abilities

  • Requires working knowledge of bookkeeping principles and practices.
  • Requires working knowledge of office methods and procedures.
  • Requires elementary knowledge of the principles and functions of standard office accounting machines and equipment.
  • Requires ability to apply bookkeeping principles.
  • Requires ability to make rapid and accurate arithmetic calculations either manually or by machine.
  • Qualifying state employees in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.

Education Degree

  • Requires knowledge, skill and mental development equivalent to completion of four years of high school.
  • Requires one year of office experience, including bookkeeping work.
