Position Overview

Under the direct supervision, performs posting and reviews of individual Ludeman Center accounts and donated restricted fund accounts. Verifies and controls individual account balances.

Job Responsibilities

1. Verifies and controls individual account balances. Prepares vendor invoices for payment after
verification of pricing and receipt of goods into the Stores Department.

 

2. Posts bank deposits to individual Trust Fund accounts including the designation of the payment type i.e.: SSA, SSI VA, RR etc.

 

3. Prepares checks to pay vendor invoices. Obtains approval and signature of Fiscal Services Director or designee. Mails vendor checks. Distributes off campus activity checks to the Center units.

 

4. Prepares monthly Cost of Care remittance report for monthly care and treatment charges and
simultaneously posts disbursements to each individual's account.

 

5. Reviews purchase requests for availability of funds for Petty Cash or individual Trust Fund accounts.

 

6. Performs other duties as required or assigned which are reasonably within the scope of the duties
enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill and mental development equivalent to completion of four years of high school. 
  2. Requires one year of office experience, including bookkeeping work. 

 

*Qualifying state employees in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.

Knowledge, Skills, and Abilities

  • Requires working knowledge of bookkeeping principles and practices.
  • Requires elementary knowledge of the principles and functions of standard office accounting machines and equipment.
  • Requires ability to make rapid and accurate arithmetic calculations either manually or by machine.

Conditions of Employment

  1. Requires the ability to meet all agency vaccine/health-related Policies and guidance.
  2. Requires ability to pass the IDHS background check.
  3. Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
