Position Overview

As an administrative secretary for the Illinois State Police Academy, Pawnee Training Facility under the Division of Training and Academy, exercises judgement in conducting inquiries with clients, vendors, or outside sources to ensure accuracy of data. Composes and keyboards routine correspondence requiring general knowledge of policies, procedures, and program operations including ordnance, canine, Emergency Vehicle Operation Course (EVOC), inventory, class schedules, and instructor evaluations. Performs technical word processing applications including merging files, developing formulas, monitoring email, and preparing appropriate responses to inquiries. Receives all incoming calls and directs those calls to the appropriate personnel. Receives all incoming visitors and directs them to appropriate personnel ensuring Pawnee facility security procedures are followed. Maintains liaison with ISP district offices pertaining to the collection of ordnance records and equipment needs. schedules range and track time for ISP and other agencies.

Essential Functions

  • Serves as administrative secretary to the Illinois State Police Academy, Pawnee Training facility.
  • Independently develops, maintains, and monitors complex databases and spreadsheets for range qualifications and weapon assignments.
  • Maintains a canine database to record canine training, certification, and completion of ISP and other local Law Enforcement agencies canines.
  • Serves as receptionist for the Pawnee facility providing information and assistance to staff and visitors.
  • Receives, sorts, and arranges distribution of all incoming U.S. mail, interdepartmental mail, and packages delivered to the Pawnee facility.
  • Maintains, retrieves, and updates ordnance records and EVOC records utilizing computerized tracking software.
  • Performs scheduling and correspondence related to the Pawnee Training Facility.
  • Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college, or completion of high school and two (2) years of related office experience, or two (2) years of independent business experience.
  • Requires the ability to keyboard 30 words per minute.

Preferred Qualifications

  • Prefers two (2) years experience and extensive knowledge of composition, grammar, spelling and punctuation.
  • Prefers one (1) year experience and the extensive knowledge of basic mathematics.
  • Prefers one (1) year experience and working knowledge of the logic of computer programs.
  • Prefers two (2) years experience following oral or written instructions.
  • Prefers one (1) year experience operating commonly used manual and automated office equipment and perform routine maintenance.
  • Prefers extensive knowledge of office practices, procedures and programs.

Conditions of Employment

  • Successfully complete an Illinois State Police Background Investigation.
  • Successfully complete an Illinois State Police Drug Screen.
