Position Overview
The Illinois Department of Transportation (IDOT) is seeking to hire an Executive Secretary. The successful candidate will perform secretarial duties for the Studies and Plans Engineer.
Essential Functions
- Performs support functions for the Studies and Plans Section staff.
- As secretary to the Studies and Plans Engineer, performs duties keyboarding correspondence and meeting minutes.
- Arranges travel and hotel reservations for the Studies and Plans Engineer for seminars and meetings.
- Functions as back up to the other bureau section’s secretary during vacations, absences, and breaks.
- Serves as receptionist for the Studies and Plans Section.
- Maintains favorable public relations for the Studies and Plans Engineer through communication with the private and public sector.
- Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of two years of secretarial or business college and one year of secretarial experience or completion of high school and three years of secretarial experience.
- Requires the ability to keyboard accurately at 55 wpm.
- Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
- Prefers extensive knowledge in Microsoft Office programs: Word, Excel, Outlook, PowerPoint and Access and computer applications such as Adobe Acrobat.
- Prefers good written communication skills, including proofreading.
- Prefers the ability to perform duties with minimal supervision, and to effectively manage time to accomplish assigned workload to meet deadlines.
- Prefers extensive knowledge of principles of office management.
- Prefers working knowledge of procedures and district operations.
- Prefers the ability to apply human relations skills in interaction with management, representatives of government, private industry and the public.
Conditions of Employment
- Requires completion of a background check and self-disclosure of criminal history.
- This position has been found to meet the requirements in section 4A-101 of the Illinois Governmental Ethics Act requiring the occupant/employee to file a Statement of Economic Interest. The Illinois Governmental Ethics Act (5 ILCS 420/4A et seq.) requires certain state officials and employees to file annual Statements of Economic Interest with the Office of the Secretary of State that will be made available for examination and copying by the public. All employees required to file a Statement of Economic Interest are also required to file the Supplemental Statement of Economic Interest with the Executive Ethics Commission. (See Executive Order 15-09) Fines and penalties apply to untimely filings.
