Position Overview
The Illinois Department of Corrections is seeking an ambitious candidate to serve as the Account Technician I. The ideal candidate will be a multi-tasker willing to work in a fast-paced work environment. This position has a variety of duties including preparing obligating documents for approval of goods and services needed, verifying vouchers, invoices and requisitions, and preparing financial statements and reports. In addition, they will gather and compile information, enter items purchased in the SAP system and serve as back-up to the Account Technician I's performing duties in payroll, timekeeping and vouchering. Essential Functions
- Prepares obligating documents for approval of goods and services needed.
- Verifies vouchers, invoices, and requisitions by cross-referencing expenditures of obligating documents.
- Prepares financial statements and reports with obligation levels in regard to departmental allotments.
- Gathers and compiles information to assist in the preparation of financial reports and posts financial information to the SAP for budgeting purposes.
- Enters Shopping Carts for all items purchased in the SAP system, which is tracked for inventory as well as vouchering purposes.
- Serves as back-up to Account Technician I's performing duties in payroll, timekeeping, and vouchering in their absence.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of two (2) years of college AND completion of an approved training course, OR three (3) years of related clerical bookkeeping experience.
- Qualifying state employees in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
- Prefers at least one (1) year of experience purchasing supplies and equipment for the operation of a large-scale facility.
- Prefers at least one (1) year of experience preparing documents and maintaining records of highly confidential and sensitive information.
- Prefers at least one (1) year of experience working with obligating documents initiating increases, decreases, or cancellations.
- Prefers at least one (1) year of experience tracking multiple purchases on a purchasing system.
- Prefers at least one (1) year of experience communicating via email, phone, etc. with vendors.
- Prefers at least one (1) year of experience maintaining a file system.
- Prefers at least one (1) year of experience working in an office setting.
- Prefers at least one (1) year of experience utilizing common office equipment such as multi line phone systems, copier, fax, and scanner.
- Prefers at least one (1) year of experience reading and applying Governmental rules, guidelines, and contractual agreements as related to procurement.
- Prefers at least one (1) year of experience working with spreadsheets and using them for reporting purposes.
Conditions of Employment
- Requires ability to pass the IDOC/IDJJ background check.
- Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
- Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
