Position Overview
Pontiac Correctional Center is seeking a highly organized and motivated Human Resources Representative. This employee will be managing critical HR operations and supporting the success of staff and facility programs. This position serves as a working supervisor. You will oversee a wide range of human resources functions, including recruitment, onboarding, benefits coordination, and personnel file management, while ensuring compliance with state policies and collective bargaining agreements. In this dynamic role, you will be the go-to resource for employees and management alike—advising on hiring processes, leave management, benefits administration, and workplace concerns. Your expertise will drive efficient staffing, accurate records management, and smooth HR transactions, directly contributing to the facility’s operational excellence. Essential Functions
- Serves as working supervisor.
- Performs a variety of general human resources functions.
- Maintains job description files and updates organizational charts.
- Supervises the maintenance of all personnel files and records.
- Serves as Facility Benefits Program/FMLA/Retirement Coordinator.
- Prepares and submits appropriate documentation for new hires and other applicable transactions for insurance purposes and assists employees with basic information.
- Monitors employees on leaves of absences.
- Prepares correspondence addressed to professional persons, private citizens, union officials, other agencies, or governmental organizations to respond to complaints or inquiries.
- Performs other duties as assigned or required which are reasonably within the scope of those duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of four (4) years of college and one (1) year of professional experience, preferably in human resources, or satisfactory completion of an approved training program.
Preferred Qualifications
- Prefers at least three (3) years of supervisory experience.
- Prefers at least two (2) years of experience working with job postings.
- Prefers at least two (2) years of experience working with job descriptions and organizational charts.
- Prefers at least two (2) years of experience maintaining personnel files and/or records.
- Prefers at least two (2) years of experience handling a benefits program and navigating changes to such program.
- Prefers at least two (2) years of experience working with Family Medical Leave Act (FMLA).
- Prefers at least two (2) years of experience monitoring employees on leaves of absence and reviewing leave of absence documentation.
Conditions of Employment
- Requires ability to pass the IDOC/IDJJ background check.
- Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
- Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
