Position Overview
The Illinois Department of Corrections is seeking a dedicated Office Coordinator to provide secretarial and office support functions for the Business Office at Pontiac Correctional Center. They will serve as secretary for the Business Office, prepare reports and spreadsheets, coordinate the contract monitoring process, and assist with timekeeping functions. This person will need to have strong attention to detail, integrity and ability to effectively communicate with multiple parties. We encourage all interested and qualified individuals to apply.
Essential Functions
- Provides secretarial and complex, specialized office support functions for the Business Office.
- Serves as secretary for the Business Office.
- Prepares complex reports and spreadsheets.
- Coordinates the contract monitoring process for the facility.
- Interacts with other departments in the preparation of business-related data, reports and correspondence including scheduled purchasing, local purchasing, Business Office employee training and Business Office employee travel.
- Assists with facility timekeeping functions.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to two (2) years of secretarial/business college, or completion of high school and two (2) years related office experience, or two (2) years of independent business experience.
- Requires ability to keyboard accurately at 30 words per minute.
Preferred Qualifications
- Prefers at least three (3) years of experience performing complex secretarial work such as monitoring and completing special projects and coordinating workflow of an office.
- Prefers at least two (2) years of experience keyboarding and processing various types of correspondence such as reports, memos and letters.
- Prefers at least two (2) years of experience preparing complex reports and spreadsheets utilizing application software such as Microsoft Office Suite or similar programs.
- Prefers at least two (2) years of experience dealing with the contract process including collecting, maintaining, and posting data for contracts and developing monitoring questionnaires and assisting with completion.
- Prefers at least one (1) year of experience interacting with administrative staff in the preparation of business-related issues.
Conditions of Employment
- Requires ability to pass the IDOC/IDJJ background check.
- Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
- Required to utilize digital technology, tools, platforms, and processes in managing and supporting various digital enhancements for greater efficiency, productivity, and digital transformation efforts within the department.
