Position Overview

Provides secretarial and specialized office support functions for the Division of Criminal Investigation; Composes and types routine correspondence and responds to inquiries requiring general knowledge of program operations; types a variety of reports or other information from handwritten, hard copy pre-recorded or voice dictation, or computer-oriented medium. Provides information or assistance to the general public and Departmental personnel. Applies general knowledge of Departmental operations, rules, and regulation in explaining or clarifying rules, processes, procedures, or services available. Develops and maintains current/closed investigative case file archives. Answers correspondence from investigative agencies, state’s attorneys, etc., requiring knowledge of sensitive investigative material. Maintains updates and distributes district personnel roster. Prepares district informational bulletins and related publications.

Essential Functions

  • Provides secretarial and specialized office support functions to the Zone 5 Pontiac Lieutenant and agents.
  • Utilizes word and data processing programs to prepare, merge, route, and store files.
  • Correlates investigative, statistical, timekeeping, and budgetary reports and ensures completeness and accuracy of highly confidential material.
  • Responsible for inventory, requisition and distribution of office supplies, forms and janitorial supplies for the Zone 5 Pontiac office.
  • Maintains and updates Zone 5 agents training record.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties of enumerated above.

Minimum Qualifications

  • Requires knowledge, skill and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.

Preferred Qualifications

  • Prefers two (2) years of experience of office practices, procedures, and programs.
  • Prefers two (2) years of experience of composition, grammar, spelling and punctuation.
  • Prefers two (2) years of experience of basic mathematics.
  • Prefers two (2) years of experience working with various office programs including Microsoft Office applications.
  • Prefers one (1) year professional experience following oral or written instructions.
  • Prefers one (1) year professional experience operating commonly used manual and automated office equipment and perform routine maintenance.
  • Prefers the ability to accurately type 30 words per minute.
