Under the direct supervision of the Registrar Supervisor, performs sensitive and confidential administrative secretarial work of a broad nature regarding cadet records for the Registrar.  Performs complex and specialized database maintenance and word processing

Job Responsibilities

  1. Records Management. Prepares and reviews student files, correspondence, reports, directives and other sensitive documents for the Registrar, ensuring timely and confidential completion. Screens incoming applications from Recruitment and Mentor Assistants to ensure data accuracy for the admission of potential cadets in accordance with state law. Provides data input as required by the National Guard Bureau in the Cadet Tracking System.
  2. Reviews internal correspondence and other documents ensuring neatness, grammer, spelling, punctuation, format, and continuity of text. Develops new formats and previously automated materials for the production of records, reports and other documents. Ensures appropriate level of data security and safeguards sensitive items.
  3. Prepares all incoming cadets file packets to ensure all information is filed according to interview board standards and hold the integrity of the information. Note any discrepancies on missing documents, information, etc.
  4. Maintains the Pre-Application database to ensure accuracy of all incoming pre-apps via LCA website is documented, assigned to respective recruiters, and application packets are mailed via USPS in timely manner.
  5. Route all incoming and outgoing LCA correspondence. Prepare all graduation documents for each cadet. 
  6. Be involved in Cadet Development and Placement. Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.


Employment Conditions

  1. Ability to maintain emotional control under stress. 
  2. Ability to work with students individually or in group settings
  3. Ability to use email and office equipment effectively.
  4. Ability to communicate and instruct cadets. 
  5. Working knowledge of classroom procedures and how to instruct cadets. 
  6. Elementary knowledge of behavior patterns and modification techniques of cadets.  A background in reading or mathematics is highly preferred. 
  7. Requires a valid Illinois driver’s license.


Requires the knowledge, skill, and mental development equivalent to the completion of high school.

Prefers two years of secretarial experience or administrative military experience.
