Position Overview
The Illinois Department of Transportation is seeking to hire an Office Coordinator. Under direction of the Region I Claims Manager, this position performs technical secretarial, office support functions relating to the processing, resolution of claims filed by and against the department, provides clerical support to section staff, and conducts inventory.
Essential Functions
- Retrieves copies of crash reports for damaged state property through the Mobil Capture Reporting System (MCR), obtains crash report numbers, and initiates a file to collect for the damages.
- Performs support functions for the section staff.
- Keyboards grievances and rebuttals for the Region I Claims Manager as well as personnel and confidential materials concerning job descriptions and evaluations for high school temporary employees and office occupation trainees within the Region I Claims Section.
- Researches and obtains legal documentation for the claims office personnel such as affidavits, interrogatories, lapsed appropriations, and departmental reports.
- Orders and maintains office supplies and equipment inventory.
- Serves as lead worker to the Office Occupations Trainee.
- Inventories Region I Section equipment and materials.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Knowledge, skill and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
- Ability to speak and write Spanish at a colloquial skill level in carrying out position duties in conjunction with non-English speaking individuals.
- Ability to keyboard accurately at 30 wpm.
Preferred Qualifications
- Prefers ability to follow oral and written instructions.
- Prefers extensive knowledge of composition, grammar, spelling, and punctuation.
- Prefers extensive knowledge of office practices, procedures, and programs.
