Position Overview
The Customer Service Specialist will interact with the WSRC guests, vendors, employees, contractors, and other affiliated parties by addressing inquiries, taking messages, resolving complaints, and providing a higher level of customer support via telephone, email, or in person. Ensures that appropriate actions are taken to resolve customer or vendors’ problems and concerns. Maintains records of customer/vendor interactions with details of inquiries, complaints, comments, or actions performed. Uses knowledge of specific shooting range activities, Special Events and services, or other assigned area of expertise to answer inquiries or to forward to the appropriate staff. Maintains Employee and Vendor files. Performs Accounts Receivable and Accounts Payable duties following DNR/WSRC procurement methods and procedures. Manages Facility Use Agreements, Assists with Data Entry, and reports. Creates and Maintains spreadsheets. Assists in populating WSRC Outlook calendar. Keeps shared workspace tidy and organized, assists Special Events team with light housekeeping and facility projects. Perform other duties at WSRC facility as assigned which are reasonably within scope of duties enumerated above.
Essential Functions
- Explain events in detail to customers (in person, email and over the phone).
- Maintains records of customers, vendors, and employees.
- Performs AR/AP duties; completed daily reports.
- Manages facility use agreements.
- Assists with reporting and maintaining a variety of site spreadsheets.
- Assists with WSRC Records Retention.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of high school.
- Requires one year minimum experience at creating Excel spreadsheets with formulas, Word documents forms and templates
Preferred Qualifications
- Prefers 2 years of working office experience with AR/AP and Excel formulas across tabs.
- Prefers working knowledge of shooting range activities, special events and services.
Employment Conditions
All applicants must be able to meet the following Conditions of Employment, with or without reasonable accommodation, to be considered for this position.
- Minimum of 17 years old possessing a valid DL.
- Requires ability to legally be around firearms.
- Requires physical condition and ability to perform position responsibilities.
- Requires ability to work weekends, and some nights or holidays for events.
- Requires ability to alter work schedule to meet the needs of the WSRC with occasional long shifts up to 10 hours.
- Requires completion of a background check and self-disclosure criminal history.
