Position Overview

The Account Clerk I position at the Department of Commerce and Economic Opportunity provides integral clerical procedures in the establishment and maintenance of grants awarded by the Department.  The ideal candidate will have clerical experience with knowledge of accounting and/or bookkeeping and the ability to organize, file, and prioritize work as needed.  The candidate will also be working with program areas in the agency and with the State of Illinois Comptroller requiring a working knowledge of an email system and data entry.  We welcome interested applicants who can help with the day-to-day operations of this fast-paced environment.

Job Responsibilities

1.  Organizes and prepares grant financial files.

2.  Prepares grants for signature and review by the Accounting Office, which includes performing review and verification of financial documents for completeness and accuracy.

3.  Creates grant financial files, maintains, and updates hard copy files of grant files using established procedures.

4.  Scans and photocopies grants for upload to eGrants and hard copy file.

5.  Assists with maintenance and entry of grantee FEINS, names, and addresses and related data to ensure accurate obligation and voucher submission to the Office of the Comptroller.

6.  Daily logs the payment instruments received into the grant reporting system assigning the cash log to the appropriate accountant and inputting various information.

7.  Retrieves grant files as requested by DCEO staff and auditors.

8.  Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

1.  Requires knowledge, skill and mental development equivalent to completion of four (4) years of high school.

Knowledge, Skills, and Abilities

  • Requires elementary knowledge of office methods and procedures.
  • Requires elementary knowledge of bookkeeping principles and practices.

Conditions of Employment

1.  Must be able to pass a background check.

2.  Must have the ability to lift and carry 25-35 lbs.

3.  Must report to the office daily.
