Position Marketing Statement

The Office of the State Fire Marshal (OSFM) is accepting applications to fill the position of Administrative Assistant I. This position provides the successful candidate with the opportunity to assist Division Management in the planning, organizing, executing, and evaluation of various testing and certification programs within the OSFM Personnel Standards and Education Division. The ideal candidate is comfortable with public speaking in promoting the mission of the OSFM and its programs. The successful candidate has the ability to communicate effectively and professionally with agency staff, members of the fire service industry, and the general public. The optimal candidate possesses a high level of comfort in the utilization of MS Word, Excel, and Outlook. As the Administrative Assistant I and employee of the State of lllinois, the selected candidate will have access to state healthcare, benefits, and a pension plan. We invite all qualified applicants to apply to join the OSFM team.

Job Responsibilities

  1. Serves and travels throughout the state as administrator of the Statewide Firefighter Testing Program and promotes, organizes, executes, controls, and maintains all confidential examination test banks of questions.
  2. Processes complex certifications which include review and process of task books and practicums to ensure compliance with administrative rules.
  3. Assists Division management and Fire Certification Specialists to develop, revise, and promote Division certification programs.
  4. Participates in supervisory staff meetings, making recommendations for the establishment of new operating procedures or revisions of existing procedures.
  5. Performs other duties as required or assigned, which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
  2. Requires one (1) year of professional experience in a public or private organization or completion of an agency approved professional management training program.

Knowledge, Skills, and Abilities

  1. Prefers coursework in public or business administration.
  2. Prefers experience with interpersonal and organizational communication skills by means of written, oral, and virtual methods.
  3. Prefers ability to organize work tasks in an efficient manner and complete assignments on time by prioritizing and monitoring their completion.
  4. Prefers ability to analyze administrative problems and adopt an effective course of action.
  5. Prefers ability to develop, install, and evaluate new and revised methods, procedures, and performance standards.
  6. Prefers high level of comfort and proficiency in the utilization of MS Word, Excel, and Outlook.
  7. Prefers strong communication skills and the ability to establish and maintain positive, professional relationships with agency staff and members of the public.
