Position Overview
The Division of Family and Community Services is seeking to hire confidential administrative support to the Bureau Chief; this position performs highly responsible staff functions of a confidential and sensitive nature; performs in an independent manner when making decisions that affects the Bureau; coordinates administrative activities for management such as property control, timekeeping, travel, etc.
Job Responsibilities

Serves as confidential administrative support to the Bureau Chief.

Performs confidential administrative functions for the Bureau Chief, including acting as Payroll coordinator and payroll entry for OIES.

Monitors incoming mail within the office.

Develops, compiles, and organizes information needed for the preparation and completion of special operation requests from the Bureau Chief or Director’s office which requires use of JIRA for meeting assignments.

Coordinates office meetings, establishes agendas and ensures materials and presentation approach are gathered, compiled and ready for use or distribution at specific meetings.

Performs other duties as assigned or required which are reasonably with the scope of duties enumerated above.
Minimum Qualifications
-
Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.

Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program.
Preferred Qualifications
-
Two (2) years of professional experience discussing and/or interpreting programs and procedures for the general-public and/or other internal/external entities.
-
Two (2) years of professional experience utilizing critical thinking skills while multi-tasking multiple projects.
-
Two (2) years of professional experience meeting deadlines with strong attention to detail and to utilize critical thinking skills.
-
Two (2) years of professional experience utilizing computer applications, such as Microsoft Excel, Word, Outlook and PowerPoint.
-
Two (2) years of professional experience communicating effectively (written and orally) and making recommendations that lead to greater efficiencies and effectiveness within the office and corresponding units.
-
Two (2) years of professional experience efficiently tracking status and/or completion of assignments across the unit to ensure such assignments are thorough and completed with designated time frames.
Conditions of Employment

Requires the ability to work overtime and/or outside of regular business hours.

Requires ability to travel.
