Position Overview
This position is in the Wage Transparency and Construction Compliance Division of the Illinois Department of Labor, specifically the Equal Pay Section. The Administrative Assistant will support the work of a team of Labor Conciliators in the Sangamon County Equal Pay Act Section as they assist citizens in recovering unpaid wages as required by the various laws enforced by the Department. Essential Functions
- Assists the Equal Pay Act Manager in implementing and executing programs and for the enforcement of the Equal Pay Act.
- Uses, updates, and generates correspondence and reports from, multiple computer databases and systems to monitor case status and aging, further case progress, and inform the Equal Pay Manager.
- Using highly technical knowledge of the Equal Pay Act and other laws enforced by the Division, reviews all electronic mail, US Postal and courier mail, to determine jurisdiction under the Act, responds to or distributes electronic and other mail to appropriate staff.
- Conducts file and database review to determine if information should be issued, or hearing should be scheduled.
- Answers telephones and electronic mail responding to complex technical questions regarding laws enforced and systems used by the Division.
- Develops and updates training materials for division staff and the public on the Equal Pay Act and other laws enforced by the Division.
- Performs other duties as required or assigned which are reasonably within the scope of the duties above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
- Requires one year of professional experience in a public or private organization, or completion of an agency approved professional management training program.
Preferred Qualifications
- Prefers one (1) year of experience working with the Equal Pay Act.
- Prefers Intermediate proficiency with Microsoft Office (Outlook, Word, Excel, Access, Database, Mainframe, PowerPoint) and personal computer operations.
- Prefers one (1) year of experience writing concise and complex documents.
- Prefers one (1) year of experience in customer service or one-year in a support role.
- Prefers one (1) year of experience producing financial reports.
Conditions of Employment
- Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime. This may require the ability to work evenings and weekends.
- This position is considered sedentary work as defined by the U.S. Department of Labor (20 CFR 404.1567(a)). Sedentary work involves lifting no more than 10 pounds at a time and requires occasional lifting, carrying, walking, and standing.
