Position Overview
The Illinois Department of Corrections is seeking a highly motivated, detail oriented, and energetic individual to join our team as an Administrative Assistant I. Key tasks include preparing sensitive reports, gathering and evaluating data, and contacting various agencies for information regarding ongoing investigations. The individual compiles monthly investigation data, conducts internal inquiries, and prepares reports. They also serve as the Agency Coordinator for the Computerized Listing of Incidents and Crimes (CLIC) and manage confidential information within the system. Additionally, the assistant coordinates records retention for investigations, maintains master case files, tracks staff calendars, collaborates with the Policy and Directives Unit, organizes training for statewide investigators, and arranges travel for seminars. Essential Functions
- Serves as a staff assistant conducting various assignments which are confidential in nature.
- Serves as Agency Coordinator for the Computerized Listing of Incidents and Crimes (CLIC).
- Serves as the Records Retention Coordinator for the Intelligence & Internal Investigations Unit.
- Organizes and presents training to statewide investigators on the composite Listing of Incidents and Crimes.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
- Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program.
Preferred Qualifications
- Prefers at least two (2) years of professional experience gathering data and compiling information for the preparation of documents.
- Prefers at least two (2) years of professional experience working with and maintaining confidential information.
- Prefers at least one (1) year of professional experience developing and conducting training sessions.
- Prefers at least one (1) year of experience initiating requests for information and establishing deadlines for responses.
- Prefers at least one (1) year of experience working with the Microsoft Office suite or equivalent computer software.
- Prefers at least one (1) year of professional experience communicating and interacting with management and agency officials.
- Prefers at least one (1) year of professional experience drafting reports for internal and/or external review.
Condition of Employment
- Requires ability to pass the IDOC/IDJJ background check.
- Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
