Position Overview

Under direction, provides statewide technical assistance to Department administrative, program, policy and facility staff statewide in support of their use of mandated Agency forms. Controls and expedites the design and development of new and revised forms using bar codes, tables, binding functions and the advanced math functions of Adobe LiveCycle and Microsoft software, including Excel.

Job Responsibilities

1.   Collaborates with user staff statewide in the development of new forms and the revision of existing forms to ensure forms meet the Agency’s operating needs. Develops new or revised forms for review and approval utilizing complex functions of Adobe LiveCycle, which is key software used in creating forms for the Governor’s Office of Management and Budget. Makes independent decisions regarding formatting, content and structure of forms which include meeting the Americans with Disabilities Act standards of accessibility.

 

2.   Serves as forms liaison for functions of the Integrated Eligibility system (IES).

 

3.   Maintains the indexing and control system for all items within the unit. Maintains the Excel database of the Master List of DHS Forms together with the current and obsolete paper files. Ensures that the appropriate programs are linked to the form and that all meet ADA accessibility standards. Assists manager in the completion of special projects as needed.

 

4.   Secures General Counsel’s approval on all forms before forwarding to the Office of Latino Relations for translation. Facilitates discussions between user staff and the General Counsel’s office as needed.  Liaisons with the Office of Latino Relations for Spanish translation of forms, as well as, other languages as needed.  

 

5.   Creates bar-coded mailing items utilizing the United States Postal Service (USPS) Gateway System. Provides electronic files Print Shop.  Keeps current with USPS regulations regarding the use of these items and required placements within the envelopes, postcards and labels created.

 

6.   Maintains regular communication with the DHS Print Shop to determine the best format for reproduction. Provides scan ready paper documents as well as electronic files.  Provides support to the Print Shop; edits documents provided by other state agencies and coordinates changes with the Department of Central Management Services.

 

7.   Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  1. Requires knowledge, skill and mental development equivalent to completion of four years of college preferably with course work in business or public administration.
  2. Requires one year of responsible administrative experience in a public or business organization.

 

SPECIALIZED SKILLSOf the one year of responsible administrative experience, requires one year of experience in the development of mandated forms for a state agency.  Requires working knowledge of Adobe, Adobe LiveCycle and Microsoft Software including Excel program.
