Position Overview
The Office of Business Services is seeking to hire an Executive Secretary II. Under the direction of the Director, prepares and keyboards a variety of confidential, complex documents and correspondence and maintains records and files relating to the administrative function of the Office of Business Services (OBS).
Essential Functions
- Serves as administrative secretary to the Director.
- Prepares and keyboards a variety of confidential, complex letters and documents for the Division, checks and proofs to assure correctness and accuracy.
- Serves as primary receptionist for the Director as well as working managers.
- Assists in the conducting of special projects and studies for the Director by gathering data, coordinating, monitoring and completing assigned projects which are applicable for the Division.
- Serves as timekeeper for the Director and working managers.
- Prepares travel arrangements for the Director.
- Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of two (2) years of secretarial or business college and two (2) years of secretarial experience OR completion of high school and four (4) years of secretarial experience.
- Requires the ability to keyboard accurately at 55 wpm.
*Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Preferred Qualifications
- Two (2) years of professional experience working in a public or private organization maintaining professionalism and confidentiality in matters relating to sensitive personnel, payroll and employee information.
- Two (2) years of professional experience organizing and maintaining files for a public or private organization.
- Two (2) years of professional experience tracking status and/or completion of assignments and reports to ensure completion by designated time frames.
- Two (2) years of professional experience communicating clearly and effectively both orally and in writing.
- Two (2) years of experience developing and maintaining cooperative working relationships with representatives in a public or private organization.
Work Hours: 8 am - 4:30 pm Monday - Friday
