Agency Marketing Statement

The Illinois Department of Public Health (IDPH) is tasked with the oversight of communities within Illinois to achieve and maintain optimal health and safety.  With an annual budget of over $600 million in state and federal funds, 7 regional offices, 3 laboratories and over 1,100 employees, IDPH is equipped to fulfill its mission of protecting the health and wellness of the people of Illinois through the prevention, health promotion, regulation and control of disease and injury.

Position Overview

Subject to management approval, performs highly responsible administrative secretarial work for the Deputy Director for the Office of Health Care Regulation; Composes and types correspondence of highly complex and confidential nature. Proofs for form, grammar and spelling. Conducts complex projects and studies by gathering, reviewing completing assigned projects.  Performs confidential secretarial functions for the Deputy Director.

Job Responsibilities

  1. Performs administrative secretarial work, composes and types correspondence of highly complex and confidential nature, including those on collective bargaining issues, routine, special, or sensitive correspondence, reports and personnel documents and other correspondence pertaining to the various office programs.
  2. Conducts complex projects and studies by gathering, reviewing and analyzing data.
  3. Responds to inquiries regarding the programs within the Office of Health Care Regulation.
  4. Travels to serve as recording secretary for meetings and assists the Deputy Director in the preparation of minutes and notes of meetings the Deputy Director is required to attend and participate in.
  5. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

 

Knowledge, Skill and Abilities

  • Requires knowledge, skill, and mental development equivalent to completion of two years of secretarial or business college, and three years of secretarial experience; or completion of high school and five years’ secretarial experience.
  • Requires working knowledge of Microsoft Office products (i.e., Excel, Access, PowerPoint, Word, etc.).  
  • Prefers working knowledge of agency programs, rules and regulations.
  • Requires thorough knowledge of manual and automated office equipment. 
  • Requires through knowledge of composition, grammar, spelling and punctuation. 
  • Requires the ability to communicate clearly and effectively both orally and in writing.
  • Requires a high degree of independence and initiative in performance of responsibilities.
  • Requires the ability to type accurately at 55 wpm.

 

Conditions of Employment

  • Requires the ability to travel and a valid IL drivers license.
