Fiscal Associate Job Description:

  • Reports to Director of Fiscal Operations and/or Deputy Director of Fiscal Operations
  • Independently receives, verifies, and posts financial information into the Agency's accounting system.
  • Verifies a variety of financial documents, including invoices, travel vouchers, contracts, and obligations for accuracy of information.
  • Verifies a variety of complex financial documents, including invoices, contracts, and obligations for accuracy of information. Initial entering of the vouchers in SAP
  • Reviews for compliance with State regulations, account assignments, general ledger codes and attaches all support documents.
  • Assists in daily office duties with Senior Fiscal Associate, Deputy Director of Fiscal Operations, and/or Director of Fiscal Operations
  • Assist human resource and operations staff with needs when needed.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of four years college, with courses in business administration and accounting.
  • One (1) or more years of experience using the Illinois ACTS Enterprise Resource Planning and Systems Applications and Products (ERP-SAP) or similar SAP-based accounting system to process fiscal transactions or prepare financial reports.

 

Preferred Qualifications

  • Prefers extensive knowledge of accounting and audit theory, principles, methods and procedures.
  • Prefers ability to review detailed work including written or numerical data and to make calculations rapidly and accurately.
  • Prefers the ability to utilize a personal computer with knowledge of Microsoft Word and Excel software.
  • Prefers experience in analyzing and reconciling contracts and obligations, determining compliance with Accounting Management Systems, the State Finance Act, and Procurement regulations.
  • Prefers experience in utilizing Enterprise Resource Planning-Supplier Relationship Management (ERP-SRM).
